Job Summary 


Working at the centre of a busy project, you'll play a key role in linking project requirements with day-to-day warehouse activity. By building strong relationships with Project Managers and using data to track and plan stock movements, you'll support the Inventory Manager in keeping operations organised, accurate and responsive to changing priorities.


The role is within a high-security project, and full vetting would be required of the successful candidate.

 
Responsibilities:

Coordinating inbound activity


Work closely with Project Managers to plan and organise the timely receipt of goods into the warehouse(s)
Proactively gather, confirm and chase required information to ensure inbound deliveries are accurate and aligned to project timelines
Respond to changing priorities and last-minute requests, adjusting plans to minimise disruption to operations


Customer & stakeholder support


Act as a key point of contact for internal and external stakeholders, providing clear and timely updates on stock, deliveries and dispatch
Handle customer queries via email and telephone in a professional, solutions-focused way
Build strong working relationships with Project Managers and customers, understanding their requirements and responding accordingly
Identify issues early and take ownership of resolving them or escalating where appropriate


Inventory & data management


Accurately record daily inbound and dispatch activity in line with customer and operational requirements
Maintain and update systems and customer portals with correct and up-to-date information
Produce regular and ad hoc reports to support the Inventory Manager and wider operation
Use Excel to manipulate and analyse data, supporting reporting, tracking, and decision-making

 
Operational support


Work collaboratively with the warehouse team to ensure the smooth running of the operation
Support the Inventory Manager with stock accuracy, investigations and reporting
Adapt to a variety of customer requirements across different contracts and accounts
Manage your workload effectively to meet deadlines and service expectations

 
Standards & continuous improvement


Follow company and customer processes, including complaints and escalation procedures
Take a proactive approach to improving ways of working, data accuracy and service delivery
Support colleagues where needed, sharing knowledge to strengthen the wider team


Skills


Strong coordination skills, bringing together multiple stakeholders and information streams
Clear and professional communication with internal and external contacts
Proactive approach; follows up, challenges gaps, and sees tasks through to completion
Customer-focused, balancing responsiveness with accuracy and practical solutions
High attention to detail, ensuring data and records remain accurate
Competent in Excel, including filtering, sorting, and basic data manipulation
Able to manage workload effectively and meet competing deadlines
Flexible approach to changing operational demands and last-minute requests
Collaborative team player, supporting colleagues and sharing knowledge


Experience


Comfortable working in a fast-paced environment with changing priorities
Experience collaborating with multiple stakeholders, including project and operations teams
Confident handling customer queries via phone and email
Strong attention to detail when maintaining accurate records and working with data
Able to use Excel to support reporting and day-to-day data management
Exposure to warehouse, logistics, or project-based operations (desirable)
