Role Purpose


The Commercial Assistant will provide administrative and commercial support to the Sizewell C Infrastructure Maintenance Project commercial team. The role is responsible for assisting in the effective management of commercial data, cost records, reporting, procurement activities and project documentation, ensuring information is accurate, compliant and available to support commercial decision-making.


The postholder will work closely with the Commercial Manager, Project Director, operational teams and wider business functions to ensure the efficient administration of commercial processes across the contract.


Key Responsibilities 


Health, Safety and Environment
• Adhere to company, NNB and Sizewell C health, safety and environmental policies at all times. 
• Actively support and promote the Behavioural Safety culture and Zero Harm initiative. 
• Report any hazards, unsafe acts, and near misses. 


Commercial Administration
• Provide administrative support to the Commercial Manager and wider commercial team.
• Maintain contract records, commercial documentation and filing systems.
• Support the preparation and submission of client applications, quotations, compensation events and commercial correspondence.
• Assist in maintaining contract registers, trackers and audit records.
• Ensure commercial documentation is stored and archived in accordance with company procedures.


Cost Control and Reporting
• Support the collection, validation and maintenance of cost and financial information.
• Assist with the preparation of weekly and monthly commercial reports.
• Produce accurate spreadsheets, dashboards and performance reports.
• Support the analysis of project expenditure, labour, plant and material costs.
• Assist with forecasting activities and the preparation of management information.


Procurement and Supply Chain
• Assist with raising purchase orders and tracking supplier commitments.
• Support procurement activities in accordance with company procedures.
• Maintain supplier records and supporting documentation.
• Assist with invoice verification and reconciliation against purchase orders and delivery records.


Data Management
• Accurately input, maintain and validate commercial and operational data.
• Collate information from multiple systems and sources.
• Ensure data integrity and confidentiality are maintained at all times.
• Support the development of reporting tools and performance dashboards.


Meetings and Communications
• Prepare reports, presentations and briefing materials.
• Record and distribute meeting notes and actions where required.
• Liaise with operational teams to obtain information required for commercial reporting.
• Build positive working relationships with internal stakeholders and external partners.


Compliance and Governance
• Ensure all activities are undertaken in accordance with company policies and procedures.
• Support compliance with contractual, financial and audit requirements.
• Promote company values and contribute to continuous improvement initiatives.
• Comply with all Health, Safety, Environmental and Quality requirements.


Qualifications


Essential
• GCSE (or equivalent) in English and Mathematics.
• Good standard of literacy and numeracy.


Desirable
• Level 3 or Level 4 Business Administration qualification.
• AAT qualification or working towards a commercial, business or finance-related qualification.
• Training in Microsoft Office applications, particularly Excel.


Experience


Essential
• Experience in an administrative, commercial, finance or business support role.
• Experience maintaining records, reports and databases.
• Experience using Microsoft Office applications, particularly Excel.


Desirable
• Experience within construction, infrastructure, highways maintenance or civil engineering.
• Experience supporting commercial or finance functions.
• Experience of procurement administration and supplier management processes.
• Experience working within a project-based environment.

 

Knowledge & Skills


Essential
• Strong Microsoft Office skills, particularly Excel, Word and Outlook.
• Excellent organisational and administrative abilities.
• Ability to process and manage large volumes of data accurately.
• Strong attention to detail.
