Job Role 


Providing personal assistant and administrative support to the Branch Manager and wider team.
Supporting evaluators and assurance leads with administrative coordination during assessments and reviews.
Document management and control, ensuring records are maintained and accessible (experience with Teamcenter beneficial but not essential).
Note-taking and minute preparation during meetings, assessments and assurance activities.
Supporting action tracking and management, ensuring actions are recorded, monitored and followed up (experience with Insight beneficial but not essential).
Assisting with the maintenance and organisation of the function's SharePoint site.
Supporting the preparation and coordination of internal reporting and assurance outputs.
Organising and coordinating cross-functional meetings and reviews, including scheduling and logistics.
Providing general day-to-day administrative and project support to ensure the effective operation of the function.

 

Experience 


Proven experience working as a Personal Assistant, Executive Assistant, or senior administrative support professional within a complex organisational environment.
Strong organisational and administrative skills with the ability to manage multiple priorities.
Experience taking meeting minutes and managing actions.
Proficiency with Microsoft Office applications, including Word, Excel, Outlook and SharePoint.
Strong communication and coordination skills when working with multiple stakeholders.
Ability to work independently and manage competing demands.


Desirable


Experience supporting teams within large infrastructure, engineering or highly regulated environments.
Familiarity with document management systems such as Teamcenter.
Experience using action tracking or governance tools such as Insight.
Understanding of assurance, governance or oversight functions within complex projects.


Personal Attributes


Highly organised with excellent attention to detail.
Proactive, reliable and able to anticipate support requirements.
Professional and discreet when handling sensitive information.
Strong collaborator with the ability to work across multiple teams.
Comfortable operating within a structured governance and assurance environment
