Job Title: Information Coordinator


TCi (GB) Ltd provides commercial & industrial new-build construction, interior fit-out & refurbishment, office and welfare furniture supply and installation. We currently have an exciting opportunity for an experienced Information Coordinator to work on a key local project in Leiston.


Roles & Responsibilities:


•    Coordinate with various departments within the organisation to ensure documentation is correctly stored and accessible to all relevant stakeholders.
•    Review and approve documents prior to uploading to the NNB document control system (Teamcenter), liaising with internal and external agencies to confirm the accuracy and clarity of information.
•    Oversee the archiving process and ensure effective document control.
•    Work to strict deadlines, ensuring all departments adhere to standardised documentation procedures.
•    Ensure compliance with approved processes and procedures.
•    Handle communications with internal and external customers via telephone and electronic means.
•    Manage and maintain operatives’ qualifications and inductions for TCI and Tier 2 contractors in line with NNB standards.
•    Maintain and update the qualification matrix.
•    Manage all on-site delivery vehicle bookings through the NNB system, attend daily logistics meetings, secure delivery slots, and submit monthly forecasts and performance reports in accordance with NNB requirements.
•    Resolve issues related to site deliveries in a timely and efficient manner.
•    Support on-site logistics by coordinating traffic management and forklift requirements for deliveries.
•    Oversee the on-boarding process for new operatives using specific systems, ensuring all pre-requisite and post-requisite requirements are completed and documented. Book inductions and report on progress.
•    Manage shared resource requests, ensuring all qualification and compliance requirements are met.
•    Manage the re-access of returning operatives to site in accordance with NNB protocols.
•    Oversee the roll-out of Behavioural Safety training for both NNB-badged and non-badged personnel, including tracking and recording attendance.
•    Collate and submit weekly hours and timesheets to the HR department.
•    Facilitate communication between project team members and contractors to ensure smooth project delivery.
•    Manage, collate, and submit required information for internal and external audits.
•    Authorise and sign dispatch notes for items leaving the site.
•    Compile monthly project data and produce comprehensive reports for submission to the Board of Directors.
•    Provide training and support to other site administrators working on NNB projects as needed.


Qualifications/Knowledge/Skills/Experience


Essential:


•    Minimum of GCSEs (A–C / 4–9) including English and IT (Microsoft Office suite)
•    Proven administration experience
•    Proficient in Microsoft Office applications (Word, Excel, Outlook, etc.)
•    Strong organisational skills and attention to detail
•    Ability to plan workload, use initiative, and meet deadlines
•    Ability to work under pressure, manage conflicting demands, and prioritise tasks
•    Excellent interpersonal and communication skills, both written and verbal
•    Ability to work effectively as part of one or more teams
•    Experience handling confidential information appropriately
•    Sound knowledge of basic site office management principles and practices
•    Demonstrates flexibility, proactivity, and a reliable, honest work ethic
•    Strong IT literacy, including confidence using bespoke systems


Desirable:


•    Level 2 (or higher) qualification in Business or Administration
•    Prior Construction Administration experience
•    Experience with Document Control procedures and systems
