Recruitment & Mobilisation Coordinator

Job Responsibilities:
• Recruitment Coordination - work with all stakeholders to drive recruitment requests through the automated PAAF process through to onboarding:-
- liaise with hiring managers to ensure up to date role profiles in place
- liaise with HPC Job Service to manage all recruitment activity
- liaise with JV HR teams to ensure recruitment adverts are shared across the parent company businesses
- liaise with Commercial team to ensure that PAAFs are raised on a timely basis when recruitment is closed out
- Update successful candidates and manage through to offer stage
- Liaise with MEH HR Admin, Onboarding & vetting on unsuccessful candidates
- maintain recruitment tracker and share with partners on a timely basis
- respond to recruitment queries
• Ensure recruitment records managed through BC in accordance with GDPR.
• Chasing the progress partners recruiters for progress
• Chair the allocations meeting and reallocated roles as appropriate.
• Liaise with hiring managers to chase short lists, decisions and feedback
• Support recruitment outreach activities.
• Liaise with IT to ensure KPI dashboards are kept up to date
• Report on agreed recruitment KPIs
• Coordinates resourcing activity across one or more of the JV Delivery Partners into roles with MEH at HPC. (Predominantly White Collar and Tier 2 Contractors)
• Ensures SQEPness (Suitably Qualified, Experienced Personnel) of candidates with reference to the MEH Alliance Competency Matrix
• Shares MEH resource demand with JV Delivery Partners and provides visibility of resourcing pipeline against forecast and confirmed labour requirements
• Works with Mobilisation Advisor to efficiently allocate resources across MEH
• Working with the other MEH HR teams - L&D & Workforce as well as the JV Delivery Partners Resourcing teams to ensure new starts to the project are competent and qualified to complete their working roles in line with the MEH competency matrix.
• Managing the mobilisation of new team members onto the project, proactively managing all aspects of the mobilisation process to enable individuals to commence work as quickly as possible.
• Liaises with vetting team to ensure progress will support planned start date.
• Attends rota'd SDC Inductions (MEH & HPC) to check attendance and provide updates from Health Surveillance medicals.
• Maintaining and monitor WIMS database to ensure all colleagues are onboarded with the correct in date qualifications.
• Attends site to support First Day inductions with Workforce Team. Supports any issues like blocked passes etc.
• Liaising with stakeholders and make bookings for required inductions and necessary appointments and visits to site within the tight time constraints.
• Co-ordinating responses to Mobilisation audit queries.
• Supporting off-boarding activities with Mobilisation Advisor and Delivery Partners to redeploy employees from MEH HPC back to JV Partners.
• Monitors fulfilment against demand from JV Delivery Partners and chases progress
• Books pre-employment technical testing for in-scope trades
• Provides Early Warning to Mobilisation Advisor on shortfalls/issues
• Acts as MEH point of contact for new team members mobilising to the Project
• Attends recruitment events and careers fairs as representative of MEH and, by extension HPC
• Processes all onboarding cases within the required timeframes.
• Collaborates with the Training Co-ordinator and Workforce Team on verification of suitability standards for each role
Experience:
• Modern apprenticeship in Business Admin or equivalent relevant experience
• Proven track record in HR activities, particularly recruitment administration and or mobilsation activities, all in a fast moving environment
• Ability to juggle multiple activities
• Excellent stakeholder management skills
• Good Excel experience
• Positive, can-do mentality
• Strong team player
• Flexible and adaptable
• Able to manage a busy workload and multiple priorities
• Clear communicator at all organisation level
