Main responsibilities and key outcomes
Dalkia is seeking a Project Administrator to support our operational Project Construction teams in solving complex planning, technical and construction challenges through Project management disciplines and solutions and allow us to grow our unique culture as we grow the business. You’ll be an integral part of the team, so you’ll need to understand every aspect of the business and act as a key member of the Project Team organising systems, monitoring procedures and collating progress reports
You will be supporting project team members through an exciting time of growth for Imtech, hence your ability to establish your professional and functional credibility and to build strong working relationships acting as a trusted advisor within the team will be key. This is a full-time opportunity will be based on an Dalkia Project construction site.

 

 

 

Key Responsibilities
The Dalkia project administrator  will establish and maintain all aspects of an Imtech construction project and form the project office. They will support the Project manager, project, and site team. Depending on project size this may include support to more than one project.
•    Support to the Operations Director for general business and office clerical matters
•    Establish the site office at before and at site set up by working with Project manager and their team, the IT department and other Imtech support services. 
•    Liaise with Dalkia clients and sub-contractor representatives.
•    Establish and maintain electronic and hard copy filing systems and communicate to the project team.
•    Maintain H&S site registers in liaison with Dalkia Construction site supervisors
•    Establish and maintain Sub Contractor attendance records so that worked hours are recorded correctly in liaison with Dalkia Construction site supervisors
•    Maintain attendance register of all Dalkia staff and submit to Dalkia weekly
•    Arrange storage of documentation both hard and soft copy during and after project for purposes of effective archiving particularly record drawings and O&M manuals
•    Support the project teams with scanning and documentation management including but not limited to Goods received notes, daily briefings, control permits.
•    Support the Project Manager by coordinating team meetings and diaries
•    Support the Project Manager and team in efficient administrative support 


HPC Specific actions –
•    Manage and control Dalkia CBS & Site wide team holiday chart.
•    Set up process and policy to create, Manage and Control Dalkia CBS & Site wide monthly team comms (Newsletter)
•    Manage and Control Dalkia CBS & Site wide visitors completing visitors passes & any visitors PPE requests.
•    Assist Dalkia Site wide lead and CBs lead with onboarding including vetting, PPE, and site onboarding requests liaising with Site Onboarding team.
•    Support with Dalkia Commercial, planning and H&S team general admin activities.
•    Liaise with the Dalkia CBS & Site wide superintendents to assist with hourly paid operatives’ holiday schedule ensuring this is communicated to the planning and operations teams.

Capabilities to fulfil the role:
Knowledge    

•    Working knowledge of administration, organisation, and Information Technology
•    Construction Project experience very beneficial 
•    Ability to analyse and interpret data to support informed decisions.
•    Able to build professional working relationships with Project team members, sub-contractors, and clients  

 

Skills    
•    Must have demonstrated effective multitasking and administration skills
•    MS Office user at minimum level 2 – Word, Excel, PowerPoint, 
•    IT literacy and keyboard skills at level 2 or above
•    Excellent approach to detailed administration and record keeping
•    Confident communicator and an ambassador for the Imtech project team
•    EDMS/ 4 project or similar system user
•    BIM and Asite user familiarity desirable

•    Candidate would need to bring a can do, efficient and effective attitude and a focus on efficiency
•    Positive, confident representing Imtech and the project team
•    Calm under pressure

Educational Qualification Required (preferred):    
•    Good general level of education i.e. GCSE x 5 particularly English and Maths at C/5 and above. 
•    Education in Information technology office products essential e.g. Document Control certification
•    Business Administration qualification at level 3 or above desirable


Previous Work Experience Required:    
•    Ideally 2+ years of office or site administration experience in a fast-paced organization 
•    Work experience in Construction site environment advantageous
•    Experience should include a focus on efficient administration and organisation of documents and general office administration
