We currently have an exciting opportunity for a Document Controller to join our Project Controls team. The successful candidate will support the Document Control Manager and project teams in ensuring the effective management, control, and distribution of project documentation in line with company procedures and regulatory requirements.


Aims and Objectives 

•    To establish and maintain an efficient, accurate, and secure document control system that ensures proper management, traceability, and accessibility of all organisational and project documentation.

 

Document Controller

Job Responsibilities

•    Provide direct support to the Information Manager in the delivery of document control services.
•    Lead and support assigned projects, ensuring consistent application of document control procedures.
•    Manage and maintain the Electronic Document Management System (EDMS), ensuring proper classification, version control, and access rights.
•    Ensure effective document creation, review, approval, distribution, retrieval, and archiving.

Accountabilities

•    Accuracy, completeness, and availability of controlled documents.
•    Timely processing and distribution of all project documentation.
•    Compliance with project and organizational document control standards.


Version & Revision Management

Responsibilities

•    Maintain detailed revision history and audit records for all documents.
•    Ensure only current, approved documents are accessible for use.
•    Withdraw and archive obsolete or superseded documentation.
•    Track all document changes and updates systematically.

Accountabilities

•    Prevention of errors caused by outdated or uncontrolled documents.
•    Clear traceability of document revisions for audit and regulatory compliance.


Task Information Delivery Plan (TIDP) Management

Responsibilities

•    Develop, coordinate, and update TIDPs for assigned projects in line with the Master Information Delivery Plan (MIDP).
•    Define information deliverables, responsibilities, formats, and submission timelines.
•    Maintain accurate records of agreed information delivery milestones within the EDMS.
•    Monitor progress against TIDP milestones and escalate delays or issues.

Accountabilities

•    Alignment of information delivery with project schedule and contractual requirements.
•    Accurate and auditable records of TIDP progress and completion.


Coordination & Stakeholder Management

Responsibilities

•    Liaise with internal departments, external contractors, and consultants to ensure proper filing, accessibility, and submission of documentation.
•    Provide guidance to staff and stakeholders on document control procedures and EDMS usage.
•    Assist in issuing documentation and drawings, including preparation of distribution matrices.
•    Support the receipt, issue, and tracking of documentation in both electronic and hardcopy formats.

Accountabilities

•    Smooth flow of documentation across teams and stakeholders.
•    Stakeholder compliance with document control procedures and standards.


Compliance, Quality & Routine Administration

Responsibilities

•    Review documents prior to upload to Teamcenter or project EDMS, ensuring accuracy, completeness, and clarity.
•    Perform routine document control activities: release, publishing, transmittal management, query handling, copying, scanning, and library maintenance.
•    Undertake additional responsibilities as required to support effective document control services.

Accountabilities

•    Compliance with quality, regulatory, and project standards.
•    Readiness for audits and inspections with minimal non-conformances.
•    Efficient administration of all document control processes.


Working Relationships


Internal

•    Information Manager - Reports to and receives direction; escalates issues and updates progress on document control activities.
•    Engineering Team - Collaborates to ensure timely submission, approval, and distribution of project documentation.

External

•    Clients / Consultants - Ensures that documentation submitted to external parties is accurate, complete, and follows agreed submission protocols.
•    Contractors / Subcontractors / Suppliers - Coordinates document submission, transmittals, and compliance with project procedures.

 

Qualifications and Experience

The knowledge, skills, qualifications, and experience relevant to the position are: 

Requirements

•    Demonstrable experience of Document Control procedures and systems (e.g., Asite, Aconex, 4Projects/Viewpoint, SharePoint, Teamcenter, ProjectWise).
•    Minimum GCSE qualifications (A–C / Grades 1–3) including English and IT (MS Office Suite).
•    Strong working knowledge of electronic document management systems (EDMS).

•    Strong interpersonal and stakeholder management skills.
•    Ability to work effectively within one or more teams.
•    High attention to detail and accuracy.
•    Excellent organisational and time management skills.
