Delivery Management System Lead

Role Purpose:
Lead and Supervise the flow of goods and materials in and on site for PTEC & Permanent materials including using the Delivery Management Systems and Teams
Accountabilities:
1. Lead and Supervise: Manage and support the daily activities of the DMS & Fleet team, providing training, direction, and performance feedback
2. In conjunction with the organisation's other teams, plan and coordinate the movement of material to allow transportation of Material ahead of delivery to site.
3. Oversee the digital and data and monitoring of performance of material to site deliveries daily, weekly and monthly.
4. Oversee the receipt of incoming goods, including plant, tools, equipment, and consumables, ensuring they match purchase orders and delivery notes.
5. Planning & Scheduling: Collaborate with production planners, OTR, stores and procurement to align material availability with project schedules
6. Reporting: Maintain accurate records and generate regular reports on material movement, team performance, and KPIs.
7. Coordination and Collaboration Recording: Providing feedback on, and document collaborative efforts with other departments, such as procurement, workforce, stores / and logistics. Reporting on joint projects, improvements in coordination, and shared successes
8. Reporting any discrepancies to the relevant departments. Ensure that all received items are accurately recorded on the inventory management system
9. Liaise with logistics providers and transport companies to arrange the timely and efficient dispatch of goods.
10. Carry a positive HS&E outlook, while representing and promoting a strong and compliant HS&E culture throughout the whole construction life cycle of the project
11. Problem Solving: Investigate and resolve material shortages, delays, or logistical issues to avoid production disruption
12. Maintain accurate records of all goods movements, including receipts, issues, transfers, and returns, within the PTEC inventory management system.
13. Coordinate with various departments, including procurement, logistics, and project teams, to ensure smooth and efficient goods movement on site and off site
14. Communicate with suppliers and vendors regarding delivery schedules, order discrepancies, and returns.
15. Dealing with email inbox requests and queries
16. To achieve all conditions set out by various stakeholders internally and externally
17. Provide an escalation route to manage relationships with haulier drivers, DMS users, particularly construction contractors - Handling any issues and queries and collecting feedback from all parties.
18. Understanding of the project delivery vehicle timing restrictions, routing, tracking and vehicle compliance, ensuring the parameters are adhered to by the delivery management system (and subsequently contractor deliveries).
19. Resolve any day to day DMS operator administration issues that may arise
20. Report and manage construction contractor compliance with DMS process
21. Develop and maintain system integrations with existing logistics and transportation systems.
22. Collaborate with stakeholders to gather requirements and understand delivery operation's needs.
23. Booking movements on site using the Falcrum booking system
Qualifications
1. Must have advanced skills and experience with MS Office and have sufficient Data management skills
2. Practical experience in warehouse, equipment and asset management is highly valued. Previous experience in warehouse operations and supply chain/material management/ procurement/quality management at large scale is essential
3. High school diploma or equivalent; additional qualifications in logistics, supply chain management desirable, or a related field are desirable.
4. Relevant certifications in inventory management or logistics (e.g., Certified Logistics Associate - CLA) are advantageous
Experience
- Minimum of 3 years of experience in a similar role, preferably within a construction, industrial, or logistics environment.
2. A sound knowledge of inventory management systems and familiarity with inventory management software and systems is important. Proficiency in using computerised systems to track inventory, generate reports, and manage stock levels is often required.
3. A good understanding of the hire industry is also beneficial.
4. A good understanding of supply chain processes, including procurement, purchasing, and logistics, is valuable. Knowledge of how materials flow through the supply chain and the ability to coordinate with suppliers and internal departments is essential.
5. Basic understanding of the UK health and safety legislation and regulations related to plant, tools and equipment in use or will be used throughout the project lifecycle this is important to ensure compliance and maintain a safe working environment
6. Positive, can-do Team player.
