Procurement and Supply Assistant – Level 3 Apprenticeship

- GCSEs at Grade 5 or above in Maths and English
- Must be aged 18 or over when you start the apprenticeship
- An interest in working in an administrative, procurement, supply chain, or customer service role

Brief Description: Mike Morgan Electrical Services (MMES) are looking for an organised and proactive Procurement and Supply Assistant to support its busy procurement function. In this role, you will help source goods and services, raise purchase orders, maintain supplier records, and ensure the timely delivery of materials needed across the organisation.
Role Purpose
The Procurement and Supply Assistant supports the smooth and efficient operation of the organisation’s procurement and supply chain function. The role ensures the timely purchasing of goods and services, accurate administration of procurement activities, and effective coordination with suppliers and internal stakeholders.
The postholder will help maintain cost-efficiency and compliance, develop strong supplier relationships, manage traceability records, coordinate goods in process, and assist with asset management processes. This role requires strong teamwork and flexibility to support additional tasks as required.
Key Responsibilities
Procurement Administration
• Raise purchase orders accurately and in line with procurement policies, customer specifications and conformity requirements.
• Supports the sourcing of goods and services by obtaining quotes and comparing supplier options to ensure best price and lead time for project tenders and task orders.
• Maintain and update procurement records related to traceability of products purchased and supplied to customers.
• Assist with preparation of tender documents, supplier evaluations, and procurement reports as and when needed.
• Collate recorded traceability records related to products received and administer data input onto the organisation’s procurement systems for products received.
Supplier Management
• Liaise with suppliers regarding pricing, lead times, deliveries, and order queries.
• Monitor supplier delivery performance and escalate issues where necessary.
• Support onboarding of new suppliers, ensuring all documentation is complete and compliant, in-line with the organisation’s quality management processes.
• Maintain supplier approval documentation of all supplies onboarded.
Inventory and Supply Coordination
• Monitor stock levels and support replenishment of key products.
• Coordinate with internal teams to understand requirements and forecast needs.
• Resolve delivery discrepancies, damaged goods, and invoice mismatches.
• Receive deliveries, sign for goods, check items, and prepare for dispatch to internal teams.
• Coordinate direct-to-site deliveries, ensuring clear communication between suppliers and
• internal stakeholders.
• Maintain traceability records in line with quality processes.
Compliance & Governance
• Support procurement data analysis to identify cost-saving opportunities.
• Maintain digital and physical records (delivery notes, conformity documents).
• Update procurement databases (product codes, descriptions, system updates).
• Conduct cost analysis of key products to monitor price changes.
Data & Reporting
• Support procurement data analysis to identify cost-saving opportunities.
