Office Manager - Bridgwater
TCi Construction WORKS is a commercial new-build, fit-out, and refurbishment contractor operating across the South of England, with extensive experience in specialist industrial environments.
We currently have an exciting opportunity for an office Manager / Senior administrator to join our team, working on a key local project in Bridgwater for a well-respected client.
Responsibilities
• Onboarding and vetting of all applicable operatives via workforce management systems, including leavers, rehires, shared resources, transfers, and project shared resources.
• Assist with supply chain training, guidance, onboarding procedures and compliance requirements as required.
• Track applications and operative status through to completion, ensuring all compliance documentation is stored securely.
• Assist with evidence collation as per C&Q Matrix requirements, ensuring filed correctly for audit purposes.
• Arrange required medicals and drug & alcohol testing, maintaining accurate and confidential records.
• Oversee booking of mandatory client behavioural safety training, liaising with onsite administration team.
• Book required operative inductions, including refresher and training courses.
• Conduct inductions against office personnel.
• Process requests for temporary workers and office visitors, warehouse visitors and urgent operational requirements.
• Organise all site service bookings via relevant systems, ensuring stakeholders are informed of instructions and potential issues timely.
• Attend and minute various meetings as required.
• Organise and store paperwork, documents, and computer-based information.
• Deal with both internal and external customers by means of telephone and email, as well as face to face with visitors, in a professional manner.
• Oversee office ordering requirements, replenishing stock where required.
• Maintaining office facilities including audits & inspections, scheduling service and repairs as necessary. Liaising with service engineers for Office & Warehouse and diarising appointments / awareness with relevant stakeholders.
• Organise and manage meeting room space and reservation process.
• Control of entry fobs and documenting hand out / collection for stakeholders, maintaining records.
• Printing of requested materials.
• Ordering of consumables for kitchen / welfare.
• Carry out any reasonable request as required.
Requirements
• Strong organisational skills
• Attention to detail
• The ability to plan your own work, use your initiative and meet deadlines
• Adaptive and solution driven
• Oral and written communication skills
• High discretion for confidentiality
• Previous administration experience, ideally in a senior administrative role (not essential).
• Driving Licence (or own means of transport to work)
• Microsoft Office skills (Word, PowerPoint, Excel etc)
• Ability to become familiar and competent with bespoke software
• Ability to pass D&A Testing and BPSS vetting process
• Attend any training course(s) deemed appropriate for development or compliance
