Job Purpose


Every successful programme needs an organised, dependable hub at its centre — and for the Clean Energy TEC, that hub is the Centre Co-ordinator. This is the person who keeps a nationally significant programme running smoothly day to day: coordinating learners, employers and partners, keeping records and finances in good order, and making sure everyone who comes
into contact with the TEC experiences a professional, well-run operation.
UCS College Group has recently been awarded the prestigious Clean Energy Technical Excellence College status — one of only five in England — recognising its leadership in developing the workforce needed for clean energy infrastructure, advanced engineering and netzero delivery. This is a genuinely exciting time to join UCS, which supports the UK’s clean energy
transition including the “first-in-a-generation” new nuclear build at Hinkley Point C (HPC) and the new Agratas battery gigafactory.
Reporting to the Assistant Director: Clean Energy TEC, the Centre Co-ordinator will provide firstclass coordination and administrative support across the programme and its hub-and-spoke network. It is a busy, varied and people-facing role for someone with excellent organisational skills, strong attention to detail and a genuine ‘can-do’ attitude — someone who takes pride in a well-run operation and wants to be part of something that matters.
On a daily basis you will be part of a motivated, ambitious team, working within the context of Europe’s largest clean energy construction project and the UK’s net-zero mission, through a large FE college that is producing extraordinary results. Flexibility and a willingness to work across sites will be required as the programme grows.


Key Responsibilities


1. Service and Coordination


To provide a first-class, professional service to all Clean Energy TEC stakeholders — learners, employers, training partners, delivery partners, spoke colleges, the other Clean Energy TECsand government departments — through all communication channels, including face-to-face, telephone, email and digital platforms.
To coordinate the full learner and customer journey from initial enquiry through to booking, onboarding, paperwork, compliance documentation, evaluation and reporting.
To meet and greet learners and visitors attending TEC facilities, ensuring all safeguarding and learner documentation is accurately recorded and tracked.
To coordinate and allocate facility and room bookings from initial enquiry through to evaluation, and to schedule course bookings, trainers and resources for relevant activities.
To support the onboarding and coordination of delivery partners, spokes and employers engaged with the programme, and to work with training providers to coordinate successful use of TEC facilities and resources.


2. Administration and Finance


To raise purchase orders and invoices using existing finance systems, ensuring compliance with financial regulations and procedures, and to ensure invoices and claims are issued and paid in a timely manner.
To process and monitor learner enrolments, registrations, examination entries and achievement records, and to maintain accurate electronic and manual filing.
To use a range of computer packages to produce documentation to corporate standards, and to undertake accurate minute-taking.
To provide administrative support for the shared digital platform and TEC resources, and to maintain stocks of course information, marketing materials and stationery.
To handle sensitive, confidential and commercially sensitive information appropriately and in accordance with College policies and procedures.


3. Reporting, Events and Engagement


To collate, analyse and produce reports on network activity, facility utilisation, learner participation, employer engagement and TEC outcomes to support performance monitoring and reporting to funders.
To support marketing, recruitment and stakeholder engagement campaigns — including mail merges, mailshots and social media activity — that promote clean energy pathways.
To organise and support College, network and stakeholder events, including the annual Clean Energy Inspire Conference and network workshops, and to arrange hospitality, room bookings and car parking.
To coordinate VIP and guest visits, booking resources and liaising with staff to ensure an excellent experience that showcases the College and the Clean Energy TEC.
To build and maintain effective professional relationships with colleagues, partners, employers and stakeholders.


4. General Responsibilities and College Citizenship


To support the Assistant Director in ensuring the smooth, professional and financially compliant operation of the Clean Energy TEC.
To contribute to internal and external projects as required.
To participate in appraisals and staff development activities.
To support and promote the safeguarding agenda, equality and diversity commitments and the wider values of UCS College Group.
To undertake any other duties commensurate with the level of the post, under the direction of the Assistant Director: Clean Energy TEC.

Essential Criteria


Strong experience in a lead administrative and/or coordination role.
A working knowledge of spreadsheets, databases, word processing and email.
The ability to prioritise tasks in a busy environment and to develop and work to business processes.
Proven customer service skills, with a professional and friendly manner.
The ability to work accurately with a high attention to detail.
Able to follow instructions, anticipate priorities and manage a varied workload.
A ‘can-do’ attitude and genuine enthusiasm for the clean energy agenda.
A flexible, approachable style of working with others to achieve successful outcomes.
Willing and able to travel and work across different sites as required.


Desirable Criteria


Hold a relevant Customer Services qualification
Hold an IT / ECDL qualification or equivalent
Hold a Level 2 or higher administration qualification
Experience of working within a network, multi-site or funded programme environment.
An interest in or awareness of the clean energy / net-zero sector.
