Contract: Fixed term offering 40 hours per week

Job Responsibilities:

 

  • Establish and maintain document control procedures, policies, and standards to ensure compliance with company requirements.
  • Organize and maintain both electronic and physical document repositories, ensuring accessibility and proper archiving.
  • Implement and maintain document control systems/software to manage workflows, version control, and access permissions effectively.
  • Coordinate document review and approval processes, liaising with internal teams and external partners.
  • Track document statuses and notify stakeholders of pending actions and deadlines.
  • Perform regular audits and inspections of document control processes to ensure compliance with regulatory requirements and company standards.
  • Support internal and external audits by providing necessary documentation and evidence of compliance.
  • Prepare and maintain reports, metrics, and performance indicators related to document control activities.
  • Provide training and support to staff on document control systems, ensuring adherence to guidelines and best practices.
  • Collaborate with project teams, engineers, administrators, and contractors to support document-related activities.
  • Communicate effectively with stakeholders to address inquiries and resolve document-related issues.

 


Qualifications:

 

  • Bachelor's degree or equivalent qualification in Business Administration, Information Management, or a related field.
  • Experience in working a Document Controlling role previously., preferably with construction knowledge.
  • Skilled in document management systems such as SharePoint, Documentum, or equivalent software.


Experience:

 

  • Civil engineering/Construction
  • Document control
